Booking Terms & Conditions

All reservations made, either directly with the Conference Hosts, the Royal Jersey Agricultural & Horticultural Society (RJA&HS) or via an in-country travel agent, are subject to the following conditions:

Contract

  1. A binding contract comes into existence between the RJA&HS and the delegate(s) and /or person(s) on whose behalf the booking may have been made (the clients) when we dispatch
    your booking confirmation and payment has been received in full.
  2. Should your Registration Form not be received by 10 January 2008, the 'early bird' booking discount for the Jersey Conference Week will not be valid.
  3. If full payment is not received by 10 April 2008 then the Registration Form is no longer valid.
  4. Jersey law (and no other) will apply to this contract and to any dispute, claim or other matter of any description which arises between us. We both also agree that any dispute, claim or other
    matter of any description (and whether or not involving any personal injury) which arises between us must be dealt with under Jersey law.

Cancellation by You
Should you wish to cancel the booking after it has been accepted, please notify us immediately in writing.

  1. A 100% charge will be applicable for any cancellations made after 10 April 2008. Cancellations after the 10 April will not receive a refund; however, early cancellations may receive part refunds. This applies whether booking with the RJA&HS or through in-country travel agents.
  2. Where joint bookings are made, if one or other delegates cancel, single supplement charges may be applicable to the remaining delegate under the same booking.

Changes and cancellation by us
We endeavour to supply the programme as set out in the Itinerary and Registration Form. However, we reserve the right to make changes to the programme at any time. This will only be done in exceptional circumstances or when circumstances are beyond our control.

Delegate fees, or a proportion thereof, cannot be refunded unless the Conference is cancelled or abandoned when less than half the programme has taken place. The event organisers carry sufficient insurance to cover the Registration Fee in the event that the Conference is cancelled.

Our liability to you
We promise to make sure that the Conference arrangements we have agreed to make, perform or provide as applicable as part of our contract with you are made, performed or provided with reasonable skill and care. We will only be responsible for what our employees, agents and suppliers do or do not do, if they were at the time acting within the course of their employment (for employees) or carrying out work we had asked them to do (for agents and suppliers).

We will not be responsible for any injury, illness, death, loss (for example loss of enjoyment), damage, expense, cost or other sum or claim of any description whatsoever which results from any acts or services which do not form part of our contract.

Your responsibilities
Bookings are accepted on the understanding that all persons travelling are in good health and able to fulfill the physical demands of the chosen Conference Tour Programme(s). In the interests of safety, you must follow the guidance of our representatives.

Insurance
Insurance is the responsibility of each delegate. Please ensure that adequate travel insurance has been taken out to cover medical expenses, personal accident, loss of baggage and curtailment or cancellation of trip. It is the responsibility of all individuals to finance any on-the-spot medical treatment and other contingencies, then to reclaim this from their insurance on return. Delegates must ensure that they have adequate protection for expensive equipment. Please keep details of all the documentation which may be necessary when making a claim. These details should be read in full and brought with you as proof whilst travelling.

Force Majeure
Except where otherwise expressly stated in these Booking Conditions, we regret we cannot accept liability or pay any compensation where the performance or prompt performance of our contractual obligations is prevented or affected by, or you otherwise suffer any damage or loss as a result of, "force majeure".

In these Booking Conditions, "force majeure" means any event which we or the supplier of the service(s) in question could not, even with all due care, foresee or avoid. Such events may include war or threat of war, riot, civil strife, terrorist activity or actual threatened terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, fire and all similar events outside our control.

Disputes
In the unlikely event that you have cause for complaint while on the Conference Tour, you must bring it to the attention of the RJA&HS or one of its representatives, who will do their best to rectify the situation. It is unreasonable to take no action whilst on holiday but then to write a letter of complaint upon return. However, should a problem remain unresolved a complaint should be made within 28 days of the completion of the relevant Conference Tour Programme.

Brochure & Website Accuracy
Please note, the information and prices shown on this website and in our brochures may have changed by the time you come to book your Conference Tour Programme.

All of the materials – printed, electronic, broadcast and including photography, remain the copyright of the RJA&HS. Whilst every effort is made to ensure the accuracy of the website, brochure and prices at the time of publishing, regrettably errors do occasionally occur. You must therefore ensure you check all details of your chosen Conference Tour(s) (including the price) with us at the time of booking.

Excursions and activities
We may provide you with information, either in our brochure and/or when you are on the Conference Tour(s), about activities and excursions which are available in the area you are visiting. We have no involvement in any such activities or excursions which are neither run, supervised nor controlled in any way by us. They are provided by local operators or other third parties who are entirely independent of us. They do not form any part of your contract with us even where we suggest particular operators/other third parties and/or assist you in booking such activities or excursions in any way. We cannot accept any liability on any basis in relation to such activities or excursions and the acceptance of liability contained in our booking conditions will not apply to them.

We cannot guarantee accuracy at all times of information given in relation to such activities or excursions or about the area(s) you are visiting generally (except where this concerns the services which will form part of your contract) or that any particular excursion or activity which does not form part of our contract will take place as these services are not under our control.

Some of the excursions and activities may have a limited capacity so entry will be allocated on a strictly first come, first served basis. Alternative visits will be offered to delegates where this applies.

Special requests and medical problems
If you have any special request, you must advise us at the time of booking. Although we will endeavour to pass any reasonable requests on to the relevant supplier, we regret we cannot promise that any request will be met unless you have specifically confirmed this in writing to us. All special requests are nevertheless subject to availability.

Further Information

Airport Meeting Instructions
These will be given to you two weeks before departure. Your tickets and flight information will be your responsibility, or that of your in-country travel agent. Please ensure that we have a contact address for you prior to the trip in case there is a change in flight plan or meeting place.

Local Representative/Agent
The name, address and telephone number of the RJA&HS Representative/Agent will be forwarded with the pre-departure information as will the name of the leader and guides.

Passports and Visas
A full valid passport and visa may be required for entry into each of the countries in the Conference Tour Programme.

Please check your Passport is both up-to-date and valid in accordance with the requirements of each country to be visited.

We regret that we cannot accept any liability if you are refused entry into any transport, or into any country, due to failure on your part to carry correct documentation.
